Checklist Maandafsluiting & Rapportage-Automatisering

1) Databronnen-inventaris & datakwaliteit

  • Inventariseer GL, AP, AR, Payroll, Inventory, Projecten, Bankfeeds. Leg per bron vast: eigenaar, frequentie, exportformaat, sleutelvelden.
  • Bepaal systeemkruisingen voor reconciliatie; borg één versie van de waarheid.
  • Stel datakwaliteitscontroles in: subgrootboek-checks, afwijkingsrapporten, event-logging.

  • Kern-sluitperiode (D0–D2): uren sluiten, late AP, facturatie, intercompany eliminaties, voorlopige statements + correctiecyclus, belastinglast.
  • Na sluitperiode: finale bankrecon, KPI-meting, update procedures & verbeterbacklog.
  • Quick wins: GL-interfaces, web-based timekeeping, lichte approval-workflow; soft close in 'lichte' maanden.

3) Essentiële KPI-set

  • Sluitingsprestatie: doorlooptijd (D+?), # correctieboekingen/ totaal, # fouten in voorlopige statements, # IC-correcties.
  • Datakwaliteit: GL↔Subledger-verschillen (AR/AP/Inventory) = 0 vóór publicatie; % voltooide dagelijkse bankrecon (100% doel).
  • Proces & discipline: % tijdig gesloten uren; % tijdig geboekte AP; backlog-opbrengst/maand.

4) Pipeline-patronen (SQLite, Sheets, Python)

  • Architectuur: Extract → Load (SQLite) → Transform (Python) → Serve (Sheets/Dashboard) + "control table".
  • Bankrecon: e-bank → landing → bank_tx → matchregels → recon_status.

1) Data sources & data quality

  • Inventory GL, AP, AR, Payroll, Inventory, Projects, Bank feeds; record owner, frequency, export format, key fields.
  • Define reconciliation touch-points; establish "one version of truth".
  • Set up data-quality controls: subledger checks, variance reports, event logging.
  • Assign a process owner with a back-up; maintain process documentation.

2) Scope, phases & quick wins (with RACI)

  • Pre-close (rolling): subledger corrections, daily bank rec, provisions, fixed-assets updates.
  • Core close (D0–D2): time entries closed, late AP, invoicing, intercompany eliminations, preliminary statements + correction cycle, tax expense.
  • Post-close: final bank rec, KPI review, update procedures & improvement backlog.
  • Quick wins: GL interfaces, web-based timekeeping, light approvals; use soft close in light months.

3) Essential KPIs

  • Close performance: cycle time (D+?), # correcting entries / total, # preliminary-statement errors, # IC corrections.
  • Data quality: GL↔Subledger variances (AR/AP/Inventory) = 0 before publishing; % daily bank rec completed (target 100%).
  • Process & discipline: % time closed on time; % AP booked on time; improvement backlog yield / month.

4) Pipeline patterns (SQLite, Sheets, Python)

  • Architecture: Extract → Load (SQLite) → Transform (Python) → Serve (Sheets/Dashboard) + control table.
  • Bank rec: e-bank → landing → bank_tx → match rules → recon_status.
  • IC eliminations: IC matrix by account/counterparty with booking proposal.
  • Soft-close toggle: soft_close_month=1 to skip heavy steps if provisions & data quality are strong.
  • Workflow & logging: clear ownership per step and auditable event logging.

5) Run & care

  • Measure & publish close KPIs; plan monthly, time-boxed improvements.
  • Update procedures and blocking rules (avoid manual revenue entries).
  • Periodically test end-to-end; reconfirm ownership & back-ups.

Bonus: Comprehensive Close (default) vs Soft Close depending on risk profile & data quality.
